Tasks


- Historical monitoring of the university's systems, regulations, plans, programs, projects, and administrative and procedural organizations in coordination with the relevant administrative units.

- Inventory, classify, code, index, catalogue, preserve, and maintain all inactive documents and archives of the university, including files, systems, regulations, and circulars, as well as determining their circulation method and converting them into modern technical preservation media.

- Suggest technical regulations, rules, and regulating procedures for preserving work at the university in accordance with the documents and archives system and its implementing regulations and follow up on their implementation after their approval.

- Issue and update work procedures manuals and follow up on their application on the activity of documents and archives at the university according to the documents and archive system and its implementing regulations.

- Participate in administrative and technical coordination of the tasks of the Standing Committee for Documents, Evaluation Committees, Destruction Committees, Transfer Committees at the University, and other committees related to the activity of documents and archives.

- Coordinate and cooperate with the National Center for Documents and Archives in applying the documents and archives system and its implementing regulations, especially in case of a transfer or destruct of documents and archives.

- Coordinate and cooperate with other similar centers in order to take benefit from their expertise.

- Suggest the appropriate systems and devices for preserving the university's documents and archives on recent technology media, operating, and maintaining them in coordination with the concerned departments.

- Contribute to spreading awareness of the importance of documents and archives activity within and outside the university through brochures, guides, professional workshops, and diplomas in coordination with the relevant authorities.

- Prepare periodic reports on the Center's activities, achievements, and development proposals and submit them to the vice-rector.
